•As soon as the outage is activated, a record will be inserted in 'project messages'. Every hour the mails who are put in this table are being sent to the client. In this email you can find an explanation of the outage and a link to the right website on which you can find a button to accept the outage. You can find the template in PlannedWork.txt.
•If a new outage is inserted, the user has the possibility to attach a standard text to the email. These standard texts are in PlannedWork.txt.
•Per contract the maximum date can be stated which the outage notification-mail must be send. If the mail is sent too late, Cocon users will be informed about the fact that the mail is contractual send to late.
•The notification mail will always be send a few days earlier than is stated in the contract. This is in order to prevent the chance that a mail is sent out too late or not sent at all.
•If there are messages, where a customer-contract is unknown, a mail will be send to the Cocon users.
•If a client has not reply a message within 5 days, the client will get a reminder in which he will be asked to reply. There will be only one reminder.
•If there is no reaction within 7 days, the outage will be automatically get the status of "Accepted". One or more Cocon Users will get a notification of this action.
•You can change the content of the different emails by a text-file. This text-file is in the Cocon folder Templates and is being called " PlannendWork.Txt". In this file you can find every kind of template, which the user can change.
